Supplier and Vendor Policy

In the complex and highly competitive world of eyewear market, the relationship between eyewear frame manufacturers and their suppliers or vendors is a cornerstone of successful business operations. At the heart of this relationship lies a delicate balance between quality and price. Striking the right equilibrium between these two factors is essential for not only satisfying customer demands but also ensuring the long-term viability and profitability of a business.

Hala Optical is devote to balance quality and price in our procurement of raw material, spare parts, packing materials and so on.

Quality, the Cornerstone of Trust:

Quality is paramount in the procurement process. It's the bedrock upon which trust is built, customer expectations are met, and reputations are forged. Ensuring that the eyewear products we offer meet or exceed the standards and specifications we promise to our customers is non-negotiable.

Product Quality Standards: It is our fundamental policy to establish and communicate clear product quality standards to our suppliers. These standards should be met without compromise, ensuring that our products are safe, reliable, and free from defects. Compliance with international quality standards is imperative.

Product Testing and Certification: We prioritize the thorough testing and certification of products to guarantee their safety and performance. Products must meet both national and international regulations, and suppliers must provide the necessary documentation to validate this.

Continuous Improvement: Quality is not a static state but a dynamic process. Suppliers are encouraged to work alongside us in a continuous improvement cycle, seeking ways to enhance the quality of their products and processes.

Price, A Competitive Edge:

Price, while important, is not the sole determinant of value. Competing in a global eyewear market necessitates acquiring products at a competitive cost to remain profitable. Our approach to pricing is carefully balanced with our commitment to quality.

Fair Pricing: Hala Optical strives for a fair and competitive price, which takes into account the quality, materials, and workmanship required to produce eyewear products. We believe that an equitable price is essential for building strong, sustainable partnerships with our suppliers.

Value-Based Sourcing: Our procurement strategy is built on a foundation of value-based sourcing, where the emphasis is on seeking the best value for our customers. This approach considers the total cost of ownership, including quality, lead times, and other factors beyond the initial purchase price.

Negotiation and Partnership: We acknowledge the importance of open and respectful negotiation. We aim to build mutually beneficial, long-term partnerships with our suppliers that go beyond price considerations. These partnerships are based on trust, transparency, and the pursuit of common goals.

Striking the Balance:

The heart of our supplier and vendor policy is the endeavor to strike a balance between quality and price. We understand that every product we import is a reflection of our commitment to our customers. This is a commitment to delivering products that not only meet their needs but exceed their expectations.

In conclusion, the supplier and vendor relationship is a vital element of our business. It's a relationship grounded in trust, integrity, and respect, where quality and price work in harmony to create products that satisfy our customers while ensuring our long-term success. We believe that by adhering to this policy, we can continue to deliver products of exceptional value and maintain the trust of our customers.

Payment Policy

At Hala Optical, we offer flexible payment options to accommodate our clients' diverse needs and preferences. Our payment policy includes accepting bank transfers through T/T (Telegraphic Transfer) and L/C (Letter of Credit) based on various trade terms, such as EXW (Ex Works), FOB (Free On Board), CNF (Cost and Freight), and CIF (Cost, Insurance, and Freight).

T/T (Telegraphic Transfer): This payment method allows clients to make payments directly from their bank account to ours. It is a secure and efficient way to conduct international transactions. Clients can initiate the transfer through their bank, and upon receiving the payment, we process the order promptly.

L/C (Letter of Credit): For larger and more complex transactions, clients can opt for payment through a Letter of Credit. A Letter of Credit provides added security for both parties involved in the transaction. The issuing bank guarantees the payment to Hala Optical upon the successful fulfillment of agreed-upon terms and conditions.

Trade Terms:

  • EXW (Ex Works): In an EXW arrangement, the client is responsible for arranging and bearing the costs of transportation from our factory or warehouse to their desired destination. We facilitate the production and make the goods available for pickup by the client or their chosen carrier.
  • FOB (Free On Board): Under FOB terms, we take responsibility for the goods and their transportation to the port of shipment. Once the goods are loaded onto the vessel, the risk and costs associated with the shipment transfer to the client.
  • CNF (Cost and Freight): With CNF terms, we cover the cost of transporting the goods to the designated port of destination. However, the risk of loss or damage to the goods shifts to the client once the goods are loaded onto the vessel.
  • CIF (Cost, Insurance, and Freight): CIF terms are similar to CNF, but with the additional inclusion of insurance. We arrange and pay for both transportation and marine insurance to protect the goods during transit. The client assumes responsibility for the goods once they are onboard the vessel.

At Hala Optical, our payment policy is designed to ensure transparency, efficiency, and security throughout the payment process. We strive to meet the specific needs of our clients, making it convenient for them to conduct business with us while upholding the highest standards of professionalism and integrity.

Eyewear Sampling Policy

Hala Optical understands the importance of providing our clients with the opportunity to evaluate and test our eyewear samples before making bulk orders. We are delighted to offer a comprehensive sampling policy to meet our clients' specific needs and preferences.

Our sampling process includes several costs, which may encompass:

  • Molding Cost: For customized designs, there might be a one-time molding cost associated with creating the unique molds required for the eyewear frames.
  • Material Cost: The cost of the high-quality materials used in crafting the eyewear samples, ensuring that they accurately represent the final product.
  • Fabrication Cost: This includes the labor and production expenses incurred during the manufacturing of the eyewear samples to ensure their impeccable quality.
  • Shipping Cost: The cost of safely transporting the eyewear samples to our clients' specified locations.

To facilitate the sampling process, we provide free sampling services to our esteemed clients. Here's how it works:

Clients can place an order for the desired eyewear samples, specifying their requirements, design preferences, and any customizations they may need.

The sampling cost will be charged upfront, covering the expenses associated with molding, materials, fabrication, and shipping.

Upon receiving the eyewear samples, clients have the opportunity to evaluate the product's design, quality, and suitability for their needs.

If the overall order quantity reaches 1000 pieces or more, we will deduct the previously paid sampling cost from the total amount of the official order.

Our free sampling service enables clients to assess the quality and design of our eyewear frames without incurring significant upfront costs. We strive to provide a seamless and client-centric sampling experience, ensuring that our clients have the utmost confidence in their final purchase decisions.

Hala Optical team take great pride in our commitment to customer satisfaction and product excellence. By offering a hassle-free sampling policy, we aim to build strong and lasting relationships with our clients, providing them with the finest eyewear solutions tailored to their unique preferences.

Minimum Order Quantity (MOQ):

we aim to accommodate various order sizes and offer flexibility in our Minimum Order Quantity (MOQ) requirements. We understand that different eyewear styles and materials may entail varying production considerations, leading to differences in MOQ for each category.

For our acetate frame and metal eyewear frame, the MOQ is set at 300 pieces per style, with a minimum of 100 pieces per SKU (Stock Keeping Unit). This allows our clients to choose from a diverse range of styles while ensuring that each individual SKU meets their specific demands.

On the other hand, our injected frames, which require a more intricate production process, have a slightly higher MOQ of 1000 pieces per style.

Base on the spare parts suppliers policy,

We believe that these MOQ specifications strike a balance between accommodating bulk orders while ensuring the highest quality standards for our eyewear frames. Our commitment to excellence extends to all aspects of production, and we collaborate closely with our clients to deliver eyewear that aligns perfectly with their preferences and brand identity.

Inspection Policy

Eyewear quality is at the heart of everything we do. To ensure that our eyewear frames meet the highest standards, we have a rigorous inspection policy in place throughout the manufacturing process.

Starting from the very beginning, we conduct raw material inspections to ensure that only premium materials are used in our frames. As the manufacturing progresses, we perform semi-product inspections to monitor the quality at different stages of production. This allows us to identify any potential issues early on and make necessary adjustments to maintain consistency and excellence.

Before the final products are ready for shipment, we conduct color inspections to ensure that the frames meet the desired color specifications. And as a final step, every completed eyewear frame undergoes a comprehensive final inspection to guarantee that it meets our strict quality criteria.

In addition to our internal inspection processes, we are more than willing to accommodate our clients' inspection requests. If you require sampling inspection from the bulk production, we are ready to arrange it for you. If, however, you need 100% inspection of the entire quantity, kindly contact info@halaeyewear.com, and we will be pleased to assist you.

For utmost transparency and credibility, we also collaborate with trusted third-party inspection agencies like SGS and QIMA. This further validates the quality and reliability of our eyewear frames, giving you complete peace of mind.

Our dedication to quality and commitment to meeting our clients' expectations drive us to ensure that each eyewear frame leaving our factory is nothing short of exceptional. Your satisfaction is our priority, and we look forward to delivering eyewear solutions that exceed your expectations.

Lead Time

delivering eyewear frames in a timely manner to meet the demands of our clients. Our lead time policy is designed to ensure efficiency and transparency throughout the production process.

For acetate frames and metal frames, our standard lead time is approximately 90 days. This allows us to meticulously craft each frame, ensuring the highest quality and precision in every detail.

For newly developed injected frames, we allocate a lead time of around 120 days. This allows us to carefully handle the intricate process of injection molding and fine-tuning the design to perfection.

Several factors can influence the lead time of our eyewear frames. One of the key factors is the delivery time of raw materials, particularly for acetate frames. We work closely with our suppliers to ensure a seamless supply chain and reduce any potential delays.

Additionally, the complexity of the eyewear fabrication processes can impact the lead time. We take great care in every step of production, from shaping and assembling the frames to applying various finishes and coatings.

Furthermore, if the design of an injected frame requires custom molds, the molding lead time may affect the overall lead time. However, rest assured that we prioritize efficiency and work diligently to minimize any potential delays.

At Hala Optical, we strive to provide accurate lead time estimates and keep our clients informed throughout the manufacturing process. Our commitment to excellence and customer satisfaction is at the core of our lead time policy, ensuring that you receive exceptional eyewear frames that exceed your expectations.
